    MINIMUM QUALIFICATIONS

    1. At least five (3) years of bookkeeping experience
    2. Courses in bookkeeping and accounting

    ESSENTIAL REQUIREMENTS

    1. Knowledge of accounting
    2. Knowledge of financial based information technology
    3. Excellent communication skills
    4. Ability to develop and maintain effective working relationships
    5. Tact, discretion and sound judgment
    6. Ability to work independently on a variety of projects with competing tasks/priorities
    7. Strong written and oral communications skills
    8. Knowledge of bookkeeping
    9. Knowledge of how to type and code purchase orders
    10. Knowledge of maintaining account balances and reporting on their status
    11. Knowledge of proper preparation of tabular materials, charts and statistical data

    REPORTS TO: Communications Manager

    BASIC NATURE OF POSITION: Perform work serving as a bookkeeper; purchasing office materials and equipment; conducting invoicing activities; paying vendors for delivered materials; providing inventory support; and performing clerical/ administrative functions.

    EXAMPLE OF WORK

    1. Assist with budget preparations
    2. Provide regular reports — weekly, monthly, quarterly, biannually, annually
    3. Handle accounts payable in a timely manner
    4. Make bank deposits and assist with bank statement reconciliation
    5. Maintain and analyze ledgers
    6. Prepare financial statements and reports including the profit and loss statement and balance sheet
    7. Maintain petty cash
    8. Assure expenditures are in accordance with code balances for item acquisition
    9. Keep Owner and Management informed as to the balances of internal accounts
    10. Prepare payroll
    11. Maintain a critical eye when dealing with invoices; make and communicate necessary
    12. Provide inventory support, enter data into the inventory, prepare inventory report and account for all fixed asset equipment owned by the company
    13. Perform clerical/administrative functions – enter data, type, generate work orders, handle phone calls, handle mail, install software programs, maintain files, make minor repairs to office equipment, prepare correspondence and reports and serve as the receptionist
    14. Determine, analyze and prepare tax reports for correct payment to Department of Revenue for sales and use tax
    15. Maintain records of departmental spending and assist with budget adjustments
    16. Communicate with employees
    17. Computer skills for hardware installation, ability to set up new computer and install software
    18. Leadership skills to enforce deadlines and standards
    19. Planning skills such as budgeting/scheduling to prepare yearly financial budget
    20. Post fees to accounts as necessary
    21. Make decisions including interpreting invoice payments accurately, determining whether a credit due should be by credit invoice or reimbursed by check, determining if an overage can be paid without approval
