The facility is currently renovating numerous areas within our 29,000 square feet that will continue to position the property as the preeminent special event location within the Valley. And we’re not stopping there! We are also just beginning construction on our 7500 square foot expansion which will include a three level configuration featuring an open air third floor. This combination will provide daily availability for our guests as well as a unique private experience. Did I mention our ability to open our retractable roof (yes, our roof opens 26′ x 100′!)? JOB SUMMARY:
The Office Manager will wear several hats as (s)/he oversees the daily human resource coordination, basic accounting functions as well as very minor office supply ordering. Our company has a centralized accounting system where payroll and A/P checks are cut from off premise. The Venue Scottsdale currently employs 11 full time associates and 50 part time team members. This position will be crucial in the continued development, implementation and administration of both areas.More specific responsibilities include. . .
Human Resources:
• Maintenance of job descriptions
• Coordinates all new hire paperwork.
• Management of I-9 process
• Update and provide property handbooks
• Maintains paper files and computer database of associate records.
• Tracks and inputs changes, new hire, and termination information.
• Generates reports from database as requested.
• Tracks vacation and other payroll data to liaison with corporate accounting department.
• Maintains bulletin boards including Federal minimum wage standards, etc.
• Office management duties including ordering supplies and maintaining office equipment.
• Performs weekly payroll reconciliationPayroll / Accounting:
• Debit and credit postings through QuickBooks and Caterease (our catering software).
• Weekly bank deposits (within walking distance).
• Daily filing of credit card payment forms and 3rd party bookings.
• Assists in the preparation of daily/monthly/quarterly financials.
• Generates aged receivable and departmental reports for review by Managers.
• Maintains monthly departmental checklists to ensure that revenue is properly captured, key accounts are reconciled, and month end functions are performed.
• Creating check requests for A/P
• Works with entire department on completing various projects and achieving departmental goals.
• Responsible for overseeing petty cash distribution.We are looking for someone who meets the following requirements:
-BS/BA degree strongly preferred.
-Minimum 1 year human resources experience.
-QuickBook experience REQUIRED!
-Excellent computer skills including Microsoft Office Suite
-Strong customer service and refined verbal and written communication skills required, with ability to effectively communicate with all levels of the organization.
-Ability to multi-task and meet deadlines is a must.
-Excellent organizational skills are required.
-Professional and polished demeanor.
-Ability to act confidentially and ethically a must.
-Knowledge of state and federal employment laws, or ability to learn.
