Outstanding Bids and Proposal Coordinator Needed (N Scottsdale)

  • The Bids and proposal coordinator plays a key role in maintaining and perfecting best practices in proposal response development for the K12, HiEd, and Gov’t/Corp markets. This position will require the incumbent to thrive independently in a fast-paced teamwork environment, developing and implementing RFP procedures in addition to working on various project assignments while maintaining a detailed schedule to ensure all deadlines are successfully met. This position will require the ability to work towards increased skills and product knowledge on an on-going basis.

    The incumbent will serve as a member of the sales team and ensure that all the functions are effectively coordinated. Focus areas will include:

    -Works with Outside Resources and Sales Representatives to identify, qualify and support opportunities.

    -Analyzes all proposal (RFP, RFI, RFQ) requirements, develop outlines, proposal schedules, and team assignments to be reviewed by the Director of Sales Operations.

    -Manages proposal workflow to ensure most efficient plan for meeting proposal deadlines

    -Serves as the initial Proposal Point of Contact for sales partners. Effectively communicates relevant project information to team members/stakeholders

    -Conducts meetings with subject matter experts to write and refine drafted technical responses.

    -Prepares and customizes proposal responses with solution base offerings to meet business requirements and marketing objectives.

    -Edits draft response for accuracy, grammar, punctuation, sentence structure, spelling, and overall presentation continuity and alignment.

    -Ensures proposal conforms to the instructions and evaluation criteria

    -Schedules initial proposal meeting with all stakeholders and final review and audit meetings prior to submittal

    -Maintains records, statistical information, and excel reports

    -Maintains a high level of product knowledge in order to match customer needs with appropriate products.

    -Assists with sales operations department daily activities

    -Receives inbound sales calls, emails, faxes and takes appropriate action.

    -Makes outbound sales calls to potential and existing dealers and end-users.

    -Emphasizes special features, credit terms, quotes prices, prepares sales orders and inputs sales orders into the system.

    -Works with shippers/shipping department to resolve issues such as lost, damaged or late shipments.

    -Provides sales-oriented product demonstrations at eInstruction offices – or by webex.

    Skills, Knowledge and Experience:

    • Bids and Proposal preparation experience

    • Excellent verbal and written communication skills

    • Continuing efforts to stay current and improve product knowledge.

    • Well organized with excellent attention to detail

    • Strong ability to multi-task in a fast-paced environment

    • Proficient in the use of Microsoft Office, Excel and other technical software

    • Accuracy and thoroughness; monitors own work to ensure quality.

    • Ability to adapt to changes in the work environment.

    • Team player – but also self motivated with ability to work independently

    Education: Bachelor’s Degree and three to five years sales or customer service experience, part of which should be from within the Company or within a technology company.
